Allianz “Unity Awards” – Privacy Notice 

For years, Allianz has forged partnerships worldwide, taking action that unifies and uplifts communities. And through one particular partnership, we see first-hand the power of sports in bringing people together. With the “Unity Awards” we now recognize individuals who use sport as an enabler to address social or community challenges, fostering inclusion and connection that makes sport more than just a game. To participate simply comment on our Instagram or LinkedIn posts describing how you or your teammate is a unity champion.

The following information sets out which kind of Personal Data will be collected, processed, and used, for which purposes, to whom this Personal Data may be shared, and which rights you as data subject have in this regard.

Protecting your privacy is a top priority for us.

Definitions: 

The below definitions apply to this Notice:

1. “Personal Data“ “Personal Data“ means any information relating to an identified or identifiable natural person (“you”); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

2. “We” means Allianz SE.

1. Who is the data controller?
A data controller is the individual or legal person who controls and is responsible to keep and use personal data in paper or electronic files. Data controller is Allianz SE, Königinstraße 28, 80802 Munich.
2. What Personal Data will be collected, processed and used?

We will collect, process, and use the following types of Personal Data:
 

  • Instagram and LinkedIn user name of the person making a competition submission
  • Competition submissions in form of videos or pictures – person submitting the comment/ picture/ video is to obtain permissions of any third parties included in the comment/ picture/ video.     
     

For the winner of the competition, we will collect, process and use the following Personal Data:
 

  • First name
  • Last name
  • Email address
  • Phone Number
  • Age / Birthday
  • Country of residence
  • Copy of passport
  • Video recordings and images 
3. For which purposes do we process and use your Personal Data?

We will process your Personal Data to enable a fair selection of the winner of the competition and to be able to organize the trip to Paris of the winner. As per a separate agreement with the winner, we will use the video recording for the promotional activities on Allianz’s social and digital channels. 

Additionally, we may need to process and use your personal data for the following purposes:

  • To meet any legal obligations (for example, tax, accounting, regulatory and administrative obligations);
  • To comply with law enforcement requests or discovery procedures, or where required or permitted by applicable laws, court orders, government regulations, or government authorities;
  • Where it is necessary to investigate, prevent or take action regarding illegal activities, suspected fraud, situations involving potential threats to the safety of any person or violations of Allianz policies or terms.
4. On which legal bases do we collect, process and use your Personal Data?

We rely on the following legal bases for the collection, processing and use of your Personal Data:

  • The participation in the “Unity Awards” competition is voluntary and we rely on you accepting the Terms and Conditions of this competition to process your personal data as well as data of any third parties. We process your personal data for the performance of the competition contract.
  • We rely on our legitimate interest to offer this competition and promote Allianz as an active contributor of the Olympic/ Paralympic Movement. Additionally, we will rely on our legitimate interest in processing your data where it is necessary to prevent or detect illegal activities, suspected fraud or situations involving potential threats to the safety of any person as well as when we detect violations of Allianz Terms and Conditions
  • In addition to our legitimate interest, we may also need to rely on compliance with any legal obligations to which we are subject to when processing personal data 
  • As mentioned in Section 3, we will rely on a contract as a legal basis for personal data processing covered in a separate agreement with the winner of the competition.
5. Who will have access to your Personal Data?

For the stated purposes, we may also share your personal data with the following parties who operate as authorized data processors under AZ SE instruction:

  • To enable the selection of the winner we will share your data with third parties, namely our agency Edelman GmbH,  to collect all participants who entered the competition.
6. Where and how will your Personal Data be processed?

Your personal data may be processed both inside and outside of the European Economic Area (EEA) by the parties specified above, subject always to contractual restrictions regarding confidentiality and security in line with applicable data protection laws and regulations. We will not disclose your personal data to parties who are not authorized to process them.

Whenever we transfer your personal data for processing outside of the EEA by another Allianz Group company, we will do so on the basis of the binding corporate rules (BCRs) of Allianz which establish adequate protection for personal data and are legally binding on Allianz Group companies. The public version of the BCRs and the list of Allianz Group companies that comply with them can be accessed here.

Where the BCRs do not apply, we will instead take steps to ensure that the transfer of your personal data outside of the EEA receives an adequate level of protection as it does in the EEA. You can find out what safeguards we rely upon for such transfers (for example, Standard Contractual Clauses) by contacting us as detailed below.

7. How do we protect your Personal Data?
Allianz maintains appropriate technical and organizational security measures designed to protect your Personal Data against accidental, unlawful or unauthorized destruction, loss, alteration, access, disclosure or use. All our employees and contractual partners are bound by confidentiality and may only process your Personal Data based on the "need-to-know" principle.
8. What are your rights in respect of your Personal Data?

To the extent permitted by applicable data protection laws and regulations, you have the right to:
 

  • Access your Personal Data held about you and to learn the origin of the data, the purposes and ends of the processing, the details of the data controller(s), the data processor(s) and the parties to whom the data may be disclosed;
  • Update and correct your Personal Data so that it is accurate;
  • Request the deletion of your Personal Data if it is no longer needed for the purposes indicated above;
  • Obtain your Personal Data in an electronic format and/ or request to transmit this data to another party you nominate
  • Restrict the processing of your Personal Data in certain circumstances, for example; where you have contested the accuracy of your Personal Data, for the period enabling Allianz SE to verify its accuracy;
  • Object to the processing of your Personal Data on specific grounds relating to your particular situation that override our compelling legitimate grounds for the processing. Once you have informed us of this request, we shall no longer process your personal data unless permitted by applicable laws and regulations.
  • File a complaint with us and/or the relevant data protection authority.

You may exercise these rights by contacting us as detailed in Section 10, below, providing your name, email address, and purpose of your request.  Note these are not absolute rights, but we will comply fully with our legal obligations.

9. How long do we keep your Personal Data?
We will not retain your personal data for longer than three years after the conclusion for the Paris 2024 Olympic and Paralympic games , and we will hold it only for the purposes for which it was obtained and as defined in a separate agreement with the winner of the competition.
